Overview: Related Technical Instruction (RTI) Tracking & Grades

RTI Tracking covers the tracking and management of related technical instruction-online or in-class courses-required for a program. This includes tracking of hours, course completions & and grades.

Related Technical Instructions (RTI) includes all the competencies, or instructional or educational courses/trainings, participants are required to complete during their program.  It usually refers to hours participants take online or in-person technical instruction or education.  This is not instruction/training they receive as part of their on-the-job training. 

Through the participant account creation process, participants are assigned to an occupation and the RTI competencies for that program, and the hours required for each, are automatically pulled onto their profile details page.  The completion of those competencies is required for the successful completion of the RTI portion of their program.  

RTI Course Hours, Completion & Grades

RTI courses can be tracked by any combination of the methods below:

  • Submitting hours for course attendance - Hours can be submitted for each class attended or in a lump sum when a course is finished. This can be done through standard hour submissions or QR code submissions.  If/when the full required number of hours for a course is submitted, the platform will automatically mark the course complete.  
  • Directly marking a course complete - If a participant technically completes a course without 100% attendance/hours submitted OR a program does not want to track/submit hours, authorized non-participants can manually mark courses complete using the RTI Details box or Batch RTI Completion.
  • Grades - Grades can be submitted for any course assignments, exams &/or final grades.  It is also possible to set an Occupations RTI up such that a final grade will be registered & used to mark a course complete simultaneously.    

Submitting Required Hours & Reviewing, Editing & Approving Hours

  • RTI hours (hours spent taking courses) can be submitted as often as once daily or just once when all hours for a course are completed.
  • Participants can submit their own hours and attach documentation if necessary. 
    • They can edit those submissions (but not the attachments) until or unless the submission is approved by program personnel. 
    • (Optional) A "cutoff" can be set after which participants can no longer submit hours for a given dates RTI (ex. submissions accepted only for the current month).
  • Most non-participants can submit hours on behalf of participants & they are not limited by cutoffs.
    • They cannot submit attachments directly to those submissions. 
    • They can submit hours for 1 or more participants simultaneously using ACTIONS - Batch Submit RTI.
  • QR Codes can be used to submit hours.  
    • Instructors can generate an "in" and "out" QR code for each class session, both of which participants must scan with their phones.
    • Once scanned, the course hour(s) for that session are automatically entered for each participant who clicked the codes. 
    • The system will indicate if hours submitted were via QR code. 
    • If a participant is not able to scan the code, they (if given access) or their instructor can still manually submit hours.
  • Hour Calculation - Hours submitted (standard or QR code) are automatically summed for each course and in total, and both are displayed on participant and non-participant dashboards.
  • Hour Review & Edit - All hours can be reviewed, deleted, & edited by participants and non-participants if given access.
  • Hour Approval (optional) All hours can be approved by non-participants if given access.
    • Approval does NOT impact the calculation and display of submitted hours nor when a competency's required hours are met and marked complete unless approval involves the editing or deleting of hours.  
  • Course Completion - A course will be marked complete automatically by the system if the hours required for a course match the hours submitted.

Directly Marking a Course Complete

RTI courses can be marked complete manually by authorized non-participants regardless of what, if any, hours are submitted.  This can be done using: the RTI Details box, for 1 course & participant at a time, Actions - Batch Complete RTI, or Final Grades.

RTI Competency/Course Details Box

This data box appears when a course title is clicked on the participant's profile details page & includes a manual "Status" dropdown, allowing a course to be marked "completed".  The information below also can be added.  This box is viewable only to non-participants, however participants will see the course "completed" status on their Progress tab. Other Options
  • ACTIONS - Batch Complete RTI can be used for marking 1 or more courses complete for 1 or more participants simultaneously.  Only a completion date & note can be added using this method.    
  • GRADES can be used to mark courses as complete if RTI is setup specifically for this option and a final grade is submitted.

ACTIONS - Batch RTI Submissions & Completions

Non-participants with access to ACTIONS Batch Submit RTI and Batch Complete RTI can submit hours for courses or mark courses complete for 1 or more participants or courses in the same occupation simultaneously. 

Batch Submit RTI is similar to regular hour submission but requires that both the courses that hours are being submitted to and the number of hours being submitted are the same for all the participants selected.  By default, this means all selected participants must be in the same occupation.  

Batch Complete RTI allows up to 10 of the same courses to be marked complete for 1 or more selected participants in the same occupation simultaneously.  When courses are completed this way, it overrides the need for hours to be submitted & it makes no change to hours previously submitted, whether "0" or some number.  A completion date and a note can be added to batch completions.  The Note is often used to explain why the courses were marked complete without hours (example - "participant received credit for this competency because of prior work experience").  Batch completing a course does not restrict the submission of hours.  

Both Batch Submit and Complete RTI functions can be used to track current hours or completions and/or to update participants' past records if they have hours/completions from before ApprentiScope was introduced (see below).

Tracking Hours or Courses Completed Prior to ApprentiScope

If participants have attended or completed courses prior to using ApprentiScope or have switched from one occupation to another with similar RTI courses, that experience can still be tracked to ensure participant records are fully up to date. 

Past Hour Submissions can be submitted in several ways.

  • Batch Submit RTI (see above) - Past hours can be added on the exact dates classes were attended or as a lump sum all on one day (usually a date before you started using ApprentiScope).  
  • Batch Complete RTI (see above) - Past course completions can be added for up to 10 courses at a time for 1 or more participant.

RTI GRADES

Grades can be entered for any and all assignments, projects, quizzes, exams, and mid-term and final grades for RTI courses.  Grades are broken down into Standard Grades and Completion grades.

Standard Grades

  • They only provide an accounting of the grades a participant earns in a course.  They do NOT directly impact the RTI Course listing or its completion.  
  • They can be entered with the following information: title of assignment, type of assignment, the course they are associated with (optional), the score received, the score possible, the outcome (pass/fail), submission or custom date, the attempt # (optional) and comments (optional).
  • They appear on the participant's Profile Details - Grades sub tab & participants can view them if they are given access to the Grades tab on their dashboard.   
  • They can be entered in the following ways:
    • Enter Individual Grades - Enter one assignment or course grade for one participant at a time.
    • Import Individual Grades - Enter multiple assignment or course grades for one participant with one csv upload.
    • Actions - Upload Grades - Enter multiple grades for multiple participants at the same time.
  • How to Enter Standard GRADES for RTI Courses

Completion Grades

  • They are a standard final grade for an RTI Course that will also mark the RTI Course complete.
  • They do NOT submit or impact any hours for the Course.
  • They require a special setup of the Occupation's RTI that include a unique Course ID for each RTI course that may be marked complete in this way.  
  • The Actions - Upload Grades method must be used once the Occupation is set up correctly.
