RAPIDS & SAA Compliance covers the collection of RAPIDS & SAA data and its use to autogenerate and populate reports, forms & agreements necessary for Federal & State compliance, including e-signed apprentice agreements & RAPIDS registration.
RAPIDS (Registered Apprenticeship Partners Information Database System) is the system in which all apprentices in Federal and many State-approved registered apprenticeship programs must be registered for compliance purposes.
ApprentiScope includes the following tools to assist with compliance:
- Collection or Uploading of RAPIDS Data
-
Generation of RAPIDS Report for Batch Registration of Apprentices in RAPIDS
-
Generation of US DOL Form 671 & State Apprentice Agreements w/ E-Signatures
-
Apprenticeship Compliance Assistance - Let ApprentiScope handle RAPIDS & SAA Compliance systems for you!
Note: While such data is generally required for most registered apprentices, RAPIDS data is basically demographic data and it can be collected for any and all types of participants in ApprentiScope.
Collection or Uploading of RAPIDS-Demographic Data
RAPIDS Data (a collection of demographic information) can be entered into ApprentiScope in several ways:
- Participants can be required, or asked, to enter their own RAPIDS Demographic Data
- Participants who are directly invited to create their own accounts (authenticated accounts) in ApprentiScope are required to enter their RAPIDS data as part of that account creation process.
- Participants who are invited to create their own ApprentiScope accounts (authenticated accounts) using a Public Link can be required to enter their RAPIDS data as part of that account creation process. But the option can be turned off.
- Participants can be asked to enter their own RAPIDS data on their My Data page if they are given access to this page and it is set to include RAPIDS data.
- Apprentices who are have managed accounts created for them cannot be required to enter this information, even if they are eventually given platform access (converted to authenticated). However, the following options are available:
-
-
Non-participants can batch upload RAPIDS data along with the initial data required to create managed accounts.
-
Non-participants can batch upload RAPIDS data separately from initial account creation.
- Non-participants can enter RAPIDS data for individual apprentices.
-
- All RAPIDS data is collected based on RAPIDS Validation Rules to ensure the data matches RAPIDS requirements.
- Once RAPIDS data is collected using any of the methods above:
- It can be viewed from the participants Profile Details - General tab under the Demographic Section for non-participants given permissions to access participant personal data.
- It can be pulled into ApprentiScope reports, including a report to share with the RAPIDS system.
- It can be pulled into Apprentice Agreements before requesting e-signatures.
Generation of RAPIDS Report for Batch Registration of Apprentices in RAPIDS
Federal and State programs that use RAPIDS, require that all apprentices be registered within the RAPIDS system with a certain length of time of their program start date. While 3rd parties cannot directly transfer data into RAPIDS, ApprentiScope provides a tool to make that data entry easier, avoiding duplicate data entry.
- RAPIDS allows apprentices to be registered by uploading an excel spreadsheet of apprentices with all the required data.
- ApprentiScope provides this exact spreadsheet and autofills it with all the profile and RAPIDS data collected or uploaded (see above) for each apprentice.
- This report can be pulled for all apprentice's who were added to ApprentiScope in any given month.
- Once downloaded from ApprentiScope, 4 IDS provided in the RAPIDS system must be entered into the downloaded report. That report is then saved as an excel document and batch uploaded into RAPIDS, officially registering the apprentices.
Generation of US DOL Form 671 & State Apprentice Agreements w/ E-Signatures
-
Federal & State apprentice agreements require profile data, demographic data equivalent to RAPIDS, occupation data, and signatures.
-
Apprentiscope can currently generate and fully autofill the US DOL Form 671 apprentice agreement and many State apprentice agreements. Most data required will already be uploaded via onboarding or if you use the collection or data uploading tools discussed above. If your State's apprentice agreement is not yet included in ApprentiScope, it can be added.
-
Simply select the appropriate agreement and assign the required signatory(ies) for the apprentice and their occupation.
-
The system will send an email to the apprentice and appropriate signatory(ies) with a Panda Doc link that they click to open and e-sign the agreement. Once all parties have submitted their e-signed agreement, it can be downloaded and/or saved in the apprentice's ApprentiScope record. Participants & signatories do not need ApprentiScope access to receive and sign the agreement.

How to Generate Automated Apprentice Agreements with Integrated E-Signatures
Generation of US DOL Voluntary Disability Disclosures
ApprentiScope can autogenerate this form for any apprentice whose disability status is provided through the collection or uploading of data. The form includes the required name, status, and date the information was provided.
Apprenticeship Compliance Assistance
Apprenticeship Compliance Assistance eliminates the need to maintain data in multiple systems to stay compliant.
Our Apprenticeship Services Team will:
- Register new apprentices in RAPIDS,
- Register new apprentices in SAA compliance systems,
- Reconcile RAPIDS data with ApprentiScope every month to ensure apprentice and program data are up-to-date,
- Reconcile SAA compliance system data with ApprentiScope every month to ensure apprentice and program data are up-to-date &
- File for apprentice Certificates of Completion upon program completion.
