Learn how to create managed participant accounts and add in the participants' profile and/or demographic data all in one spreadsheet.
User Types: Regulators, Sponsors & Employer Administrators
Note:
- Before inviting apprentices, be sure to understand the distinction between managed and authenticated accounts: Understanding Participant Account Types and How to Create Them
- If you just want to create managed accounts and not add profile/demographic data at this time, click here for instructions. There are different processes for adding profile and demographic data after a managed account is created.
Step 1: Navigate to INVITE on the blue navigation bar
Step 2: Click "Add Managed Users" & then the "Batch Upload" button in the top right corner
- Note: If you click "Get started", you can add managed apprentice accounts without profile and demographic data. Such data can always be added later using a separate process.
Step 3: Download the blank CSV and Data Validation Rules provided
- On the CSV, enter all the information for any participant for whom you want to create a managed account. The validation rules will tell you the exact format for each data field and which fields are required. Any fields left blank will be left blank in the participants' record.
- If the participants included on the csv have different occupations and/or employers, you will need to include the occupation and employer IDs. The validation rules will show you where to find those IDs.
- Click here to review all the fields that can be entered using the csv.
Step 4: Select an Employer and click Continue, and Select an Occupation and click Continue
- Note: If you are adding participants with different employers and/or occupations, it does not matter which employer or occupation you select on this page. The system will read the occupation and employer IDs you enter on the csv you upload. If all your apprentices are in the same occupation/employer, be sure to select the correct employer/occupation on this page; in that case, you do not need to include the occupation and employer IDs on the csv.
Step 5: Upload your CSV and click Continue
- The system will notify you if the data is acceptable and will allow you to upload it.
